Privacy Policy

Effective date: June 9, 2026. This Privacy Policy explains how Healing Hands Massage Institute ("HHMI," "we," "us") collects, uses, shares, and retains information across our services, including the website at hh.edu and the Healing Hands mobile app for Android and iOS. Practices specific to the app are described under "The Healing Hands mobile app" below.

Information we collect

Depending on how you interact with HHMI, we collect:

  • Information you provide — when you contact us, submit an enrollment or inquiry form, or sign in to HHMI's systems: your name, email, phone number, and anything you include in your message.
  • Sign-in and profile information — for people who sign in to HHMI's systems: name, email, campus/branch, language preference, and role and permissions.
  • Student education records — for enrolled students: course enrollment, class attendance and absences, course and attempt summaries, and academic progress.
  • Massage therapy client records — for clinic patients, accessed by authorized HHMI users: appointment details and clinical records, including treatment dates, type of massage therapy, billing information, intake and health information the patient provides (such as date of birth, medications, medical conditions, allergies, recent surgeries, and pregnancy due date), pain-map information, and treatment notes.
  • Information collected automatically — website server logs (connection and general visit data), and, in the mobile app, the device and diagnostic information described below.

How we use information

  • Respond to inquiries and process enrollment.
  • Authenticate the people who sign in and keep their access secure.
  • Provide student academic features and track academic progress.
  • Enable authorized users to schedule, deliver, and document massage therapy services.
  • Send appointment and service notifications.
  • Maintain, secure, and improve our website and app.
  • Meet our legal, accreditation, and regulatory obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

How we share information

  • Service providers that process information on our behalf under confidentiality obligations (those used by the mobile app are listed below).
  • HHMI institutional systems that store student, scheduling, and clinical records.
  • When required by law — including the Texas Department of Licensing and Regulation (TDLR), accreditors, or as otherwise permitted or required by applicable state or federal law.

How long we keep information

We keep sign-in, inquiry, and app data for as long as it is needed for the purposes above. As a licensed Texas massage school and clinic, HHMI is also legally required to retain certain records for set periods, even after you stop using our services or make a deletion request:

  • Student academic transcripts — retained permanently (16 Texas Administrative Code §117.64(d)).
  • Other student enrollment records (enrollment agreements and contracts, evaluations of previous education and training, and transcripts from previously attended schools) — retained for at least three years (16 TAC §117.64(e)).
  • Massage therapy client records (dates of service, type of massage therapy, and billing information) — retained for at least two years (16 TAC §117.90(f)). Related health and treatment records are retained for at least this period, and longer only where a specific legal obligation or hold requires, after which they are securely disposed of.

Access and deletion

To access or delete the personal information we hold about you, email [email protected]. We will delete or de-identify your information, except records we are legally required to keep (the academic, enrollment, and massage-therapy client records above), which we retain for the required periods and then securely dispose of.

How we protect information

Information is transmitted over encrypted (HTTPS) connections, and access to student and clinical records is restricted by role-based permissions. Most online forms that collect personal information use Google reCAPTCHA to prevent abuse — your use of reCAPTCHA is subject to Google's Privacy Policy and Terms of Service; some forms instead use other anti-spam measures.

Patient information

Clinical information about clinic patients is collected directly from the patient during HHMI's intake and consultation process, is kept confidential, and is accessible only to authorized HHMI students and staff for treatment and documentation.

Children's privacy

HHMI's app and online services are used by adults — our students and staff. In our teaching clinic, a person under the age of 17 may receive massage therapy only with the written consent of a parent or guardian, as required by Texas law (16 TAC §117.90(g)); in that case the minor's intake and health information is provided and consented to by the parent or guardian and is kept confidential like other patient records.

Website analytics

On the hh.edu website we use analytics services to understand how visitors use the site and to improve it. Microsoft Clarity records interactions such as clicks, scrolling, and session replays, and Cloudflare records page and form-submission events. These providers process this information on our behalf. This analytics is used on the website only — the mobile app contains no analytics trackers.

The Healing Hands mobile app

This section describes practices specific to our Healing Hands app (Android and iOS, package com.healinghands.hhmi), used by HHMI students and staff.

What the app collects

  • Sign-in information — the email address you enter to sign in and the one-time passcode sent to you. The app uses passwordless, device-bound login: it stores a secure device key on your device (iOS Keychain / Android Keystore) and keeps you signed in with a session cookie. It does not collect a password.
  • Device and diagnostic information — basic information about your device (including a device identifier, model, and operating system) and crash reports, used to keep the app working and fix problems. The app also registers a push-notification token so we can send you appointment and service notifications.
  • Information you enter — content you submit while using the app, such as the treatment notes and plans that authorized users write for appointments.

Your name, email, campus/branch, role, and the student and massage therapy records you are authorized to view are retrieved from HHMI's systems to display in the app — the app does not collect this information from you.

To keep the app working, limited data is shared with service providers: Apple and Google deliver push notifications, Expo delivers app updates and registers push tokens, and Bugsnag receives crash and diagnostic data to help us fix problems — this can include limited sign-in or record identifiers present at the time of an error. The app contains no advertising and no marketing or analytics trackers.

Signing in

You sign in to HHMI's systems with a one-time passcode; HHMI provisions and manages access. The app has no sign-up, and you cannot edit your profile or remove your access from within it. To access or delete your information, see "Access and deletion" above.

Changes to this Policy

We may update this Policy from time to time. We will post the updated version here with a new effective date.

Governing law

This Policy is governed by the laws of the State of Texas.
